The Challenge:
Needed a system to track equipment for the service department. The old system was paperbased and had many deficiencies.
About The Visionary:
The manager of the service department purchased an early version of Filemaker Pro and created a basic tracking and service report system. He had a vision for automating as much as possible regarding the intake, tracking and return of equipment for repair.
The Vision:
As a busy service department, the application needed to provide for fast data entry while also limiting errors and the possibility of duplicate information. Multiple users would access the system at different points in a equipment repair case. Once a repair was done invoices needed to be generated and sent to the customer. They solution needed to provide automation to allow staff to be as efficient as possible. The manager needed to be able to track information securely and be able to report to management on equipment repair status, invoicing of repairs and staff utilization.
Adatasol’s Solution:
The solution allows for very fast data entry and supports easy updates as equipment types and formats change. View a list of current equipment with existing warranties to immediately resolve issues. Generate invoices automatically for equipment as repairs were completed. Provided a dashboard of daily repairs by status. Export invoices to the accounting department for tracking of payments.

This project required Adatasol to replace a legacy paper-based system with a purpose-built digital solution designed for the speed and accuracy demands of a medical equipment service department.
ERP Consulting
We analyzed CTI's existing paper-based equipment tracking process, identified data entry bottlenecks, mapped the full repair lifecycle from intake through invoicing, and designed a system architecture that supported multiple users accessing equipment cases at different workflow stages.
ERP Implementation
We managed the full deployment including system configuration, data import of existing equipment and warranty records, user training for service department staff and management, and go-live support to ensure the team could operate independently from day one.
Custom Development
Our developers built a custom equipment repair tracking module with fast data entry forms, duplicate prevention logic, automatic warranty lookup, status-based dashboards, and automated invoice generation all designed to minimize manual work for service technicians and administrative staff.
